The Practice Coordinator greets patients, families and visitors promptly in a welcoming and courteous manner. This position is responsible for maintaining the sales floor for cleanliness and safety, per Dana-Farber Cancer Institute Policy and Procedure.
This position’s work location is onsite, full-time on campus in Longwood Medical Area.

Responsibilities
- Schedules fitting appointments according to department guidelines for new and existing patients
- Receives and directs incoming requests for patients orders and service requests
- Communicates general program-specific and insurance referral information to callers/patients within the scope of knowledge
- Provides superior customer service to all patients, family members, physicians and staff according to DFCI Customer Service Standards
- Performs front desk check-in and check-out functions
- Assists patients with product selection, mastectomy products, compression garments, wigs and over the counter merchandise
- Notifies appropriate personnel of equipment, supplies, or patient care areas that require cleaning or repairs
- Processes sales transactions accurately and efficiently according to established policy and procedure using a Point-of-Sale (POS) system, including handling cash
- Performs daily reconciliation of payments received. Safeguards payments and receipts according to established procedures. Prepares cash and checks for deposit
- May cross cover for other team members to assist patients with basic fitting
- May assist with patient orders and/or coordinating shipping
- Resolves issues within position responsibilities. Escalates issues to management as needed
- Recognizes emergencies and appropriately responds using standard operating procedures and critical thinking skills
- Adheres to all hospital and departmental policies regarding patient confidentiality and general program procedures
- Performs additional duties, as assigned
Qualifications
MINIMUM JOB QUALIFICATIONS:
- High school diploma/GED; Post-secondary education preferred
- Experience with Microsoft Office
- Epic or Medical record systems experience preferred
- Retail experience preferred
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Proficient in using Microsoft Office applications and POS Systems
- Excellent communication, organizational, time management, and customer service skills
- Excellent phone etiquette
- Strong attention to detail
- Demonstrated ability to multi task, while being attentive to customers and patients
- Ability to work with all types of people
- Ability to adapt to and embrace change
- Ability to function as an integral member of a team
